Your property runs every night. Your books should keep up.
Nightly card batches, online travel agency payouts, franchise fees, and local occupancy taxes add up to some of the most complicated books in small business. We help independent and franchised motel and hotel owners keep them clean, stay compliant, and plan for what's next.
Sound familiar?
Hospitality is a seven-day, every-night business. The bookkeeping rarely gets the same attention.
- A night audit that never quite matches what lands in the bank.
- Online travel agency payouts that arrive with commissions already taken out, and no clear record of what was booked.
- Occupancy tax returns due to the city or county on a strict schedule, with rules that change based on length of stay.
- Franchise royalty, marketing, and reservation fees that seem to grow every year.
- A required renovation coming up, and no clear plan for how to pay for it.
- A lender asking for financials you can't put together quickly.

Property bookkeeping
Night audit and property management reports reconciled to bank deposits, online travel agency payouts recorded in full, and franchise fees and payroll handled correctly.
Occupancy tax and compliance
Lodging tax returns prepared on schedule, with payroll and sales tax filings kept current so penalties never pile up.
Tax and depreciation planning

Lender-ready reporting
Monthly results by property with occupancy, average daily rate, and RevPAR, plus annual packages ready for lenders and franchisors.
The numbers we track for every property
Hotels live and die by a handful of measures. These show up in your reporting every month.
- Occupancy rate
- Average daily rate (ADR)
- Revenue per available room (RevPAR)
- Online travel agency commissions as a share of revenue
- Labor cost per occupied room
- Utilities per occupied room
- Gross operating profit
- Debt service coverage for your lender
- Your renovation reserve
Occupancy tax rules differ by city and county, including how extended stays are treated, so we confirm the rules for each property. This is general information, not advice for your specific situation.
We'd reconcile the night audit to the bank every week, not just at month-end. Card batch errors and chargebacks are far easier to fix when they're days old.
And we'd start a renovation reserve the day a property is bought. Franchise improvement plans arrive on the franchisor's schedule, not yours, and a reserve turns a crisis into a planned expense.

Questions owners ask
Do you work with both franchised and independent properties?
Yes. Franchised properties bring royalty, marketing, and reservation fees plus reporting to the brand. Independent properties often lean more on online travel agencies. We set up the books to fit either.
Can you handle multiple properties?
Yes. Each property keeps its own books, and you get a combined view so you can compare performance across your portfolio.
What is a cost segregation study, and is it worth it?
It's an engineering-based review that separates parts of a building, like fixtures, flooring, and site improvements, into shorter depreciation periods, which can allow much larger deductions sooner. Whether it's worth it depends on the property's cost, when you bought it, and how long you plan to hold it, since some of those deductions can be taxed again when you sell. We'll tell you honestly whether it makes sense for you.
Can you speak at our association meeting?
We'd be glad to. Popular topics include occupancy tax compliance, cost segregation, planning for franchise improvement plans, and preparing financials for lenders. Sessions are educational, not sales pitches.
What does it cost?
It depends on the number of properties and what you need, so we quote a flat monthly price after a free call. You'll know the full cost before we start.
